A large suburban home at dusk with the porch and garage lights on

The appointment desk for bath, basement, window, siding and roofing companies

The estimate starts before the doorbell.

Every form fill, missed call and chat answered inside a minute, in your company’s name. Every estimate confirmed three times. Every no-show rebooked the same day. A scorecard every week, read by a person before it reaches you.

Chicago Month to month No call center. No script you did not approve.

The cost of the gap

Every appointment that never sits was paid for at the same rate as the ones that close.

The marketing works. The reps are fine. The leak is the hours in between: the evening form fill that waits for the office to open, the appointment nobody confirmed, the demo that ended without a sale and never got a second call. The desk exists for those hours.

One evening lead

Tuesday, 9:14 pm. Your office is closed. The desk is not.

This is the sequence the desk runs on every lead that comes in after hours, on a weekend, or while your office is on another call. The homeowner hears your company’s name, gets a real appointment, and gets reminded until your rep is in the driveway.

Illustrative. These are the desk’s windows, not a record of any client’s lead.

  2. Tue 9:15 pmHomeowner called back and texted, in your company’s name.
  3. Tue 9:18 pmIn-home estimate booked on your rep’s calendar. Thursday, 6:00 pm. Both homeowners will be there.
  4. Tue 9:19 pmFirst confirmation sent. Address, time, who needs to be home.
  5. Wed 5:30 pmDay-before reminder call. Still on, still both home.
  6. Thu 8:10 amMorning-of call. Confirmed.
  7. Thu 6:00 pmYour rep sits the appointment.

The desk

Four jobs. Your name on every one of them.

The same work a good call center does, done inside a minute instead of the next morning, and read every week by a person.

Answer and book

Every form fill, missed call and chat gets a call back and a text inside a minute, day or night, in your company’s name. The homeowner gets a real in-home estimate on the right rep’s calendar, not a promise that someone will call tomorrow.

Covers
Web forms, missed calls, site chat, lead vendors
Hours
Around the clock, including weekends

Confirm three times

A confirmation right after booking, a reminder the day before, and a call the morning of. Every one asks the question that decides whether the rep’s evening is wasted: will everyone who decides be home.

Rebook and rework

A no-show gets a rebook call the same day. Demos that ended without a sale get worked at 48 hours and again at 30, 60 and 90 days, with whatever offer you are running that month. Old leads get a schedule instead of a drawer.

How it starts

The first thirty days.

One setup call, then the desk goes live on new leads first. Nothing touches your old leads until you have heard how it sounds.

  1. Week 1

    Setup

Calendars, territories, your CRM or wherever leads land, and the scripts in your company’s name. You approve what the desk may say and what it may not.

  2. Week 2

    Live on new leads

Every new form fill, missed call and chat answered inside a minute. You hear the first calls and the wording gets adjusted with you.

  3. Week 3

    Confirmations and rebooks

Three confirmations on every set appointment. No-shows rebooked the same day. Reps stop driving to empty houses.

  4. Week 4

    First scorecard

Leads, set rate, issued, sit rate, close rate and cost per issued appointment, by source and by rep. The schedule for unsold demos and old leads starts here.

Standards

What the desk is held to.

These are the working rules. They are the same for every company the desk runs for.

  • Under a minute.Every new lead gets a call and a text inside sixty seconds, at 9 pm the same as 9 am.
  • Three confirmations, every appointment. At booking, the day before, the morning of. Each one asks whether both decision makers will be home.
  • Same-day rebooks.A no-show is called the day it happens, not on the next report.
  • Read before it is sent. The weekly scorecard is read by a person, and the note explains what changed and what gets tuned next.
  • Your name, not ours.Homeowners hear your company’s name and your reps’ names. They never hear KOVA.
  • You approve the script.Nothing goes live until you have heard it and signed off on what it may and may not say.
  • A clean hand-off.When a homeowner wants your office, the desk passes them over with the notes, not a cold transfer.
  • Month to month. The call records and the numbers are built in your name and stay yours if you stop.

The Leak Report

One page, built by hand for your company, before we ever talk.

If you reached this site through an email from KOVA, you probably received one. It is the same method the desk runs on, pointed at your company from the outside.

  1. 1

    What we saw

Your site opened the way a homeowner would open it, in the evening. What loaded and what did not: chat, online booking, forms, ad tags, financing. Facts are marked observed. Our reads are marked as ours.

  2. 2

    What that usually costs

Industry math set next to what we saw, every assumption labeled, so you can swap in your real numbers in your head.

  3. 3

    What the desk would do

The four jobs written for your company and your trade, with the cadence spelled out.

  4. 4

    You reply

Tell us what it got right and what it got wrong. Nothing to book, no deck. If it is useful and we never talk, it is still yours.

Questions

Plain answers.

The things owners ask on the first call, answered the same way here.

Is this a call center?

It does a call center’s work: setting, confirming, rebooking and rehash. It is not a room of agents reading a script. It is a set of systems KOVA sets up, watches and fixes every week, running in your company’s name, with a person reading the numbers. You deal with one person, not an account manager.

Does it sound like a robot?

It answers as your company, by call and by text, and it is built to book an estimate, not to make conversation. Before anything goes live you hear it, and you approve what it may say and what it may not. When a homeowner asks for a person, it hands off to one.

What do you need from us?

About an hour at the start. Access to your web form, phone line and CRM or wherever leads land, your reps’ calendars and territories, and whatever offer you are running this month. After that, a short call each week around the scorecard.

Will it work with our CRM?

In most cases, yes. The desk reads and writes to the systems replacement contractors usually run on, and where a clean connection does not exist it works from the lead notifications you already get. Tell us what you use and you will get a yes or a no on the first call, not after you sign.

Do you lock us in?

No. Month to month. Everything built in your name, including the call records and the numbers, stays yours if you stop.

What does it cost?

That is answered on the first call, once we have seen your lead volume and how your reps are set up. Nothing on this site is a quote, and there is nothing to sign to hear the number.

The firm

One service. One kind of company.

KOVA runs appointment desks for independent replacement contractors and nothing else. The trades are bath, basement waterproofing, windows and doors, siding and roofing, because they share the same shape: a paid lead, an in-home estimate, a rep’s evening, and a decision that needs two people in the room.

Before KOVA, the team behind it built the lead response and sales operations systems for a trading education company doing over $500,000 a month: speed to lead tracking, appointment confirmations, rep scorecards, and a schedule for leads that had gone quiet. The desk is that work, pointed at your trade.
